Minimum of 3 years of experience in administrative coordination or assistance
Strong organizational skills and attention to detail
Excellent communicative skills, both written and verbal through multiple electronic tools (email, instant chat, text, etc).
Strong decision-making abilities
Proficient in Microsoft Office Suite and web based applications
Ability to work independently and as part of a team
Demonstrated flexibility in working on routine tasks as well as project related work
Able to lift/carry up to 20 lbs.
Responsibilities:
Implement and follow policies, procedures, and protocols related to administrative services
Oversee and manage facilities contractors, ensuring timely and accurate completion of their tasks
Coordinate and manage office operations, such as mail distribution, facilities management, and procurement and restocking of supplies/tools throughout the site,.
Organize and coordinate meetings and events.
Serve as focal point for contract administration practices. Manage paperwork associated with variances and exemptions according to client and site practices.
Serve as procurement focal point for the site, assisting requisitions with resolution of procurement and payment related issued with centralized group off-site.
Manage hard-copy document archiving process
Management of site rewards and recognition programs.
Manage external communications to outside parties, particularly with Community Engagement team
